Revised Instructions to Invigilators During Examination

Instructions to Invigilators During Examination
  1. Collect your invigilation duty details from your Department office.
  2. All invigilators must report to the Instructor-in-charge (IC) before 20 minutes of the examination schedule time.
  3. Before start of the exam, make an announcement that students must NOT have any electronic devices such as Mobile phone, Smart watch, Digital diaries, Palm top, etc.  with them.
  4. Before start the exam, make an announcement that there should NOT be any student without Institute ID card. In case, a student forgot to bring his/her ID card, ask him/her to leave the examination room and bring it.
  5. Verify the student’s identity card within 30 minutes of the start of examination. During checking if you found any student without ID card, you should collect the question paper & answer sheet and ask the student to leave the examination room. Provide this information to the IC. Such answer sheets will not be considered for the evaluation. 
  6. Ensure that students have written their Name, ID No., Course No., Course Title, Exam Date and Section No./ Name of the Instructor on the cover page of the answer book(s). Put your signature in the space provided on the main answer sheet as well as on supplementary answer sheet (if any). Take the signature of the students on the attendance sheet and maintain attendance record.
  7. Kindly keep your mobile phone on silent mode during your invigilation duty and don’t involve yourself in other activities viz. correction of answer scripts, reading a book, talking on mobile phone unless you need to contact the IC of the course for any clarification.
  8. Please make rounds in the examination hall to prevent indiscipline / copying and also don’t leave the examination hall unattended at any time.
  9. In case, examination of more than one courses are scheduled in a room, it will be the responsibility of all the invigilators present in that room to perform invigilation duty for all the courses.
  10. In case, you find a student indulges in malpractice:
    • Ask the student to hand over the answer sheet immediately and give him/her a fresh answer sheet to continue the examination.
    • Collect a written report from the student at the end of exam.
    • If the student has copied from mobile phone or chit, please collect that material (phone or chit) and switch off the mobile phone.
    • If the student has written something on hand or leg etc., please capture it in a camera and then ask the student to erase it.
    • Please submit the student's report, the invigilators' report, the materials collected from the student and both answer sheets to the IC.
    • IC in-turn should submit a report with all the collected material to the Associate Dean, AUGSD/AGSRD.
  11. Maintain record of students moving out during the examination in the prescribed sheet.
  12. Do not allow students to leave the examination hall before ensuring that all students have submitted the answer sheets.
  13. Invigilators should make sure that the number of main answer sheets collected from a particular room tallies with the attendance of the students. Invigilators are responsible to hand over the correct number of answer sheets to the IC from the room they are invigilating in.
  14. In case, you are not available for an assigned invigilation duty, you must arrange an alternate invigilator (faculty member only) for the exam by giving prior information to the respective course IC; In-charge, Examinations (examinations@pilani.bits-pilani.ac.in); and your HoD.
