Change in the process flow for obtaining the medical reimbursement

Dear All,

 

Please find below the change in the process flow for obtaining the medical reimbursement (other than from the Medical Centre).

 

1. The medical reimbursements for all medical expenses which are incurred outside the campus will be done as per the rules of Income Tax regarding exemption of medical reimbursements as notified on the BITS Pilani website.

2. All recommendations for treatment obtained from Birla Sarvajanik Hospital will be routed through the Chief Medical Officer (CMO) of the BITS Pilani, Pilani Campus Medical Center. Only after BITS Pilani CMO’s consent, the bills shall be processed for reimbursement.

3. All the medical bills along with requisite documents and relevant medical reimbursement forms are to be sent by the employee to the HR Section.

4. The HR Section will cross-check for employees’ eligibility in terms of appointment and information related to dependents.

5. After due verification, the HR section will send the medical bills along with the medical reimbursement forms to the Medical Centre for further processing.
​​​​​​​
6. The Chief Medical Officer of Pilani Campus will evaluate the treatment and the requisite tests and medicines required for the treatment and prescribe and also will assign the amount of reimbursement (which will be as per the institute guidelines available for all diseases on the website) and forward the details for payment to Accounts.

7. The Accounts and Finance Section will check the total amount reimbursable and the calculation of the amount of medical expenses and will process the reimbursement as per institute guidelines.

8. For any queries related to reimbursements, the employee shall reach out to the Medical Center for clarification.
